HOW DO I...?
River Islands is offering the Welcome Center to be a rentable space for residents’ casual gatherings.
Requests must be made at least 30 days in advance. See calendar below for available dates.
Fees are charged per event and are due upon approval of request. We will reach out via the contact information provided in your application for a status update. Fees are due upon approval and will be returned in the event of a cancelation. The deposit will be kept if additional cleaning is necessary, or damages incur. See below for the fee schedule:
Capacity for inside the building is 49 attendees. Parking lot capacity is 31 vehicles, including 4 handicapped parking spaces.
The Welcome Center is open daily from 12:00 pm to 5:00 pm (excluding major holidays).
The lobby will be available for reservations during the hours of 5pm - 9pm in the evenings. This includes set-up, function time and clean-up.
The Welcome Center deck will be available for reservations before or after business hours. Morning hours are
6:00 am – 10:00 am & evening hours are 5:00 pm – 9:00 pm.
The building and premises must be vacated of all occupants by hours stated above.
There are no exceptions to these hours of availability.
Bouncehouses and amplified sound/music are NOT permitted.
UTILITIES: Utilities are provided for your convenience and cannot be guaranteed. Please do not overload electricity or use water in excess amounts.
DECORATIONS: Do not use tacks, nails or staples on furniture or facility structures – this includes wall displays and electronic screens. MASKING/PAINTERS TAPE ONLY on painted wall surfaces. Confetti, sequins, glitter and other similar materials are prohibited. Any deviation may result in partial or full loss of deposit.
KITCHEN: Oven and microwave are for warming-purposes only.
Hard alcohol is prohibited on the premises. Applicant MUST serve drinks responsibly and are accountable for their conduct as well as the conduct of their guests. Please observe all applicable laws.
Materials/supplies may not be stored inside the building before or after the event. Should you need to store anything temporarily outside the building, River Islands LLC. will not be held liable for any damage.
All entry-exit doors shall be secured and locked at the end of the reserved event use.
ZERO TOLERANCE POLICY: River Islands Development reserves the right to refuse service based on past experience, potential facility damage or negative impact within the community. Fees are subject to change without notice.
ALLOWED USES – Reservations will be on a first-come first-serve basis.
Meetings for registered clubs in River Islands
Celebratory gatherings (i.e. graduation, bridal or baby showers)
Consecutive reservations extending weeks or months may be approved for seasonal sports but are otherwise not allowed
Political or religious gatherings of any kind
Culture-specific gatherings which would exclude any other group in the community
Events that cause disruption to the community such as in noise or controversy
River Islands reserves the sole and exclusive right to interpret this disruption
Cleaning fee/deposit (refundable) - $250
Rental fee (non-refundable) - $20 per hour of use
ASSUMPTION OF LIABILITY: AGREEMENT TO HOLD HARMLESS
The applicant hereby accepts full responsibility for any breakage or damage to property or structures and for the conduct of those attending the function. Applicant assumes all risks incident-to or connected with its operation and shall be solely-responsible for liabilities arising from accidents or injuries to persons or property resulting from the function or activity. Applicant agrees to indemnify and hold harmless River Islands Development, LLC, Califia, LLC and its affiliates from any claims, suits, losses or damages for injury to persons or property arising out of activities/event. An additional signed entry agreement will be required upon approval.
AGREEMENT TO ABIDE BY RULES AND REGULATIONS
Applicant represents that he/she/they read the Rules, agrees to make these Rules known to persons attending the function, and give unqualified assurances that no violation of such Rules shall be allowed to occur on the premises. Applicant understands that permission for use of the facility is contingent upon compliance with these Rules and such permissions may be revoked at any time upon failure of persons attending the function to fully comply with the Rules.
APPLICANT TO BE PRESENT THROUGHOUT
If an agreement is granted for the function or activity, the applicant agrees to be present, or to have a designated representative present, during the entire period of use of the facility. Applicant shall provide a contact number where they can be reached during the event.
CLEANING AND DEPOSIT
Applicant will be eligible to receive their cleaning deposit back if the reserved areas are left in the same condition/placement prior to event.
A basket of cleaning materials will be available underneath the kitchen sink for use (with lobby rentals), if necessary.
Please discard all excess trash into the large dumpster located in the enclosure behind the Welcome Center.
INSURANCE IS REQUIRED
Special Event Coverage is required at the user’s expense and proof must be shown prior to event. See below for examples on where to obtain coverage:
